Snap it, send it, sorted: Smart Document Capture in Xero

Xero now reads your bills and receipts for you. Send a document in, and within about 30 seconds Xero pulls out the supplier, date, amounts and VAT, then suggests a transaction for you to check. This page shows you how, with examples you can click through.

Good habits

Get the best results

Capture as you go

Snap receipts the day you get them. A weekly habit beats a shoebox at year end, and the original image is your record for HMRC.

Clear beats creased

Flat, well-lit photos and original PDFs read most accurately. Faded or crumpled till receipts may need more corrections.

Check before you approve

Bills arrive as drafts. Glance at the supplier, VAT and account code, then approve. Xero learns from your corrections.

Don't double up

Send each document once, by one route. Xero flags likely duplicates and matches to existing transactions, but one route is cleaner.

Guard your address

Treat your forwarding email address like a password. Anything sent to it lands in your books.

Give staff the right access

Team members can be given upload-only access, so they can send in receipts without seeing the rest of your finances.
